Email is incredibly important in our modern world. However it can so annoying if it is misdirected, intrudes on your time or doesn’t get the right message across. Here are some quick tips to make email a little bit better.

Turn off the Alerts !

  • That little envelope appears next to your clock and you’re dying to know who the email is from.
  • A ping in the background lets you know it’s there.
  • And if you’re using the latest software, you’ll most likely get a desktop alert drifting into view as well just to make absolutely sure.

Make time in your day to read your new emails when you are ready to. Don’t let incoming messages distract you, and you’ll find yourself far more productive.

Turn ON your SPAM Filter

There is so much email flying around the internet, that you want to make sure that you are not distracted by reading emails that really don’t interest you.

  • Invest in a good quality SPAM filter that you can control, to make sure that only the right messages get through.
  • Slowly over time you can educated the filter to your preferences and your unwanted email should reduce to a trickle.

Target your Email

Targeting your emails is so important. Sending the right email to the wrong recipient is fatal. It will probably just get deleted.

  • Make sure that whoever you are sending the email to will want to receive the email. If they don’t, you’ve just wasted your time.

Write More Carefully

Emails can appear so casual and if they are not written carefully and can easily convey the wrong message.

Written communication (even this article) loses all of the flair and passion of a verbal conversation and the visual clues of a face to face meeting.

Be very careful how you phrase yourself, as many a message can be read in more than one way and may convey something completely different to your intentions.

  • Remember: Email is one-way. It is not a conversation. It lacks all emotion and intonation.
  • Spell checking is usually build into most email software. Make sure it’s turned on so that there is no excuse for typos.
  • Proof read your emails before you hit the send button even if it’s just a casual ‘hello’.
  • Avoid USING ALL CAPITALS. Your reader will just wonder why you are shouting at them!
